Every client got a portal, every bookkeeper got an AI

A white-label client portal on QuickBooks, six specialized agents, an AI bookkeeping platform, and a bilingual collections agent.

The situation

Where they started

A bilingual bookkeeping, payroll, and tax firm with client books in QuickBooks Online, spreadsheets, and folders of bank statement PDFs.

What we found

  • Clients could not see their own financials without emailing the firm.
  • Statements were keyed in by hand, and every categorization rule lived in one bookkeeper's head.

What we built

Piece by piece

  1. Portal

    A white-label client financial portal

KPIs, P&L, cash flow, and accountant reports from QuickBooks Online, gated to closed months.

  2. AI agent

Six agents, two of which act

One recategorizes in QuickBooks, one delivers client dashboards, and each write is confirmed first.

  3. Custom app

    Statement and check converters

Bank and card PDFs become QuickBooks-ready CSVs that must tie to the penny.

  4. Custom app

    An AI bookkeeping platform

Rules, learned vendor mappings, then AI with a confidence score on every row.

  5. AI agent

    A bilingual collections agent

Drafts English or Spanish follow-ups against true aging. A person sends every message.

  6. Automation

Scheduled pulls, mailbox scan, daily blog

Statements pulled and split by month, tax notices filed into one digest, a post published daily.

Safety

How it stays safe

  • Mandatory two-factor login, encrypted tokens, and a step-up re-check for sensitive actions.
  • Agents read freely and write narrowly. Every write is restated, confirmed, and audit-logged.
  • A screener checks every message for prompt injection, and AI spend is capped.

Day to day

A normal day

A bookkeeper drops a three-month bank PDF, each month ties to the penny, and most rows arrive categorized with a reason. She reviews the rest, confirms the agent's QuickBooks fix, and sends the client a dashboard.

What changed

What is true today

Capabilities and speed, not dollar figures.

  • Clients see closed-month financials in a portal, not weeks later by email.
  • Bookkeepers review AI-categorized months instead of keying them.
  • Collections drafts wait in English or Spanish, and month-close status sits on one screen.
